Are You Being Productive or Just Busy?

Ever notice how each day can bring more to do, especially when you love information and have a rush of new ideas almost all the time. It is easier and easier to grow busy and lose track of yourself and the things that are most important. Have you been a busy bee? It seems to be going around lately and it is easy to catch! I happen to know a few remedies.

1. You have to make tough choices. Be clear on what’s important to you and hold on to that priority no matter what tries to steal your attention. There are a great number of shiny objects that are good at making you feel like they just might make life easier. There is no magic solution for growing your business or improving your life. You need to work hard and not get distracted from your priorities. Figure out what your top goals are and stick with them until they are complete.

2. Spend time with projects, people and places that recharge your battery. It is important to watch that you surround yourself with positive energy. Little things can take us down fast, sometimes without even knowing it. Make sure you have a positive environment and do most of your connecting with upbeat and supportive influences. No, it won’t always be perfect, but take responsibility and make every effort possible to get what you need so you can operate from the best possible mindset.

3. Don’t do things that take away from being the best you that you can possibly be. Set your standards and stick to them! Make a list of the characteristics that are important to you. How do you want people to know you? If they talk about you, what do you hope they will say? Be a class act, whatever that may look like to you. Things like; not gossiping, not being judgmental, being on time, returning email and phone calls in a timely matter. Or, Eating healthy and exercising, being helpful and encouraging others. You decide who you want to be and what your standards of behavior are and then hold those ideals.

If you pay attention to these key remedies you’ll find that you know what you want and who you are and you’ll keep your focus on those things that matter most. Start small with short periods of time to sit and really think about what you want to accomplish and set a reward for yourself ,or consequence, to keep you motivated and inspired. Keep moving toward that priority until you achieve it and then you can set your next priority.

Productivity Training - What Action Will You Take?

Increasing our personal and business productivity can be a daunting task and sometimes we don’t even know where to start. There’s so much information coming toward us, and the list of things to do seems to grow while we’re sleeping. Maybe it’s time to stop trying to do it all right now, and take a different approach. Let me explain.

What if you could do something every day to improve or increase your business by just 1%? I know that sounds insignificant, but think about it – in just one year you would have increased your business by multiples of that 1%, and THAT would add up!

First of all, make a list of all the things you need to do to make a small improvement, things that could improve your overall productivity by just 1%. What might this list look like? If you use blogging or article marketing as part of your online business strategy, do you have any broken links out there? It happens to the best of us. Find them and fix them.

Perhaps you could begin spending just a few minutes a day reaching out to someone new in your Social Media circles. Just one strategic contact could net you lots of new business in the course of the year. Is it worth those few extra minutes? You bet, it is!

Could you be more efficient if your desk and office weren’t so cluttered? Go on a 10 minute blitz and begin sorting out the mess. One box for things to throw away, one for things to file, and so on…
If you did this just once or twice a week, soon you’d be able to think more clearly and put your hands on what you need without wasting valuable time searching for papers and information.

Set aside a small block of time and begin to learn your organization software. If you use Microsoft Outlook, learn to use its organization functions – they’re awesome! If you’re using another contact manager or email storage system, be sure to learn all you can about how to let it work for you. So many times, we just learn the basics, enough to get by, and we put off digging into what could give us many hours of time in the future by helping us be better organized. You shouldn’t expect to learn it all in one sitting; instead, just use small blocks of time, and let the learning be cumulative. At the end of a week, or a month, or even several months, you’ll look back and be shocked at how far you’ve come.

So, begin your day by considering what small action you can take to improve your business by just 1%. And remember, it’s taking action that makes the difference! What action will you take?

More Productive - 4 Things A Day On Your To-Do List

I know it sounds crazy to just do four things a day! But before you dismiss this as a silly idea let’s talk about what this really means. Have you ever heard of Parkinson’s Law? It’s also known as the 80/20 rule. Formally stated, Parkinson’s Law says that your work will expand to fill the exact amount of time you make available. Simply put, if you allow a whole day to complete a task, it will take all day. Studies have shown that just 20% of what you do will produce 80% of the desired results. That means that 80% of what you do is just “filler” and won’t amount to much.

It’s easy to confuse being busy with being productive. If we spend all day on a project, we may feel as though we’ve been really busy. Maybe so, but have we been productive? At the end of the day, look back and ask yourself if what you completed were the important things that moved your business forward.

The 4 things you decide to do every day should be the 20% that produces 80% of your results. The key is to decide exactly what those 4 tasks are going to be. Before you decide what 4 things to work on, you should determine what impact they will have – are they truly important, or just urgent? Urgent matters do need attention, but don’t let these urgent matters take away from the 20% of work that will bring you the most results and really move you along toward building your business.

So, once you’ve determined what your “impact” items will be for the day, jump right in and work on them. Don’t be sidetracked by the phone or email. Distractions lead to procrastination, which is the number one enemy to completing your “impact” tasks for the day. When you’ve tackled your first task, give yourself some breathing room; take a break – a walk, a snack, or whatever refreshes you. Whatever you choose for your break, get away from the computer! Your eyes will thank you and it will give you time to refocus on your next task.

Now, it’s time to work on your next “impact” task. Take a break, and then finish the third and than the last task. If you don’t allow for distractions, and you didn’t procrastinate, you should have these things finished long before the end of your workday. Then, you can take care of the less important things that still beg for your attention – BUT, it will be without guilt or pressure because you already have the important things done. Imagine what a great feeling that will be!
